Privacy policy

AgileSales AI is a service of SAM CLOUD, CA, based in Barquisimeto, Lara, Venezuela. It helps a business serve its customers on WhatsApp, Instagram and Facebook: an artificial intelligence agent answers, checks real prices and stock and prepares the order as a draft, and a person at the business confirms it.

This policy explains how we handle the data of two groups of people: those who use the business panel, and the customers of those businesses who write to them through a messaging channel.

For end customers' data, the business that hires AgileSales AI decides what it is used for and SAM CLOUD, CA handles it on that business's behalf. For account and panel data, SAM CLOUD, CA is the controller.

Depending on who you are, we handle this data:

• Account and panel: name, email, role in the business, chosen language, and the business's own data (name, colors, branches, catalog, customers and orders it loads).
• Conversations: the phone number or social account identifier the message comes from, the profile name the channel shows, the date and time, and the content of the messages (text, images, audio and documents).
• Identification in the conversation: the name, national ID or tax ID, and the name of the person writing, when they give them so the agent knows which customer it is talking to.
• Orders: the products, quantities and totals of the draft, and which contact of the business asked for it.
• Meta connection: the WhatsApp Business account identifier, the number's identifier and the access credential the business authorizes, kept only to act on its behalf.
• Technical data: security and error logs needed to keep the service running.

We use the data only to:

• Receive and answer the business's customers' messages and prepare their order drafts.
• Show the business its conversations, approvals and orders in the panel.
• Email the people who can approve an order when one is pending.
• Protect the service, detect abuse and fix failures.
• Meet legal obligations and honor the rights this policy recognizes.

We do not sell personal data or use it for advertising. We do not use the content of conversations to train our own models. We share it only with the providers the service needs to work:

• Meta Platforms: delivers and receives WhatsApp, Instagram and Facebook messages.
• Google (Gemini): generates the agent's replies from the text of the conversation and the catalog data the business allows it to check.
• Supabase: stores the database and handles sign-in.
• Vercel: hosts the application.
• Cloudflare: manages the domain and sends the notification emails.
• Authorities, when a law requires it.

These providers run servers in the United States and in other countries, so data may be handled outside Venezuela.

We keep the data while the business's account is active. When the account is closed or after a verified deletion request, we delete it within 30 days, except what a law requires us to keep, such as accounting records.

Each business has its own data space, separate from the others, and a business never sees another's data. Each person's permissions are enforced on the server, and connections are encrypted in transit. The agent only uses fixed tools inside the active business, and a person confirms every order.

No measure is absolute. If we detect an incident that affects your data, we will tell the responsible business and whoever else is due.

You can ask us to give you access to your data, correct it, delete it, limit its use or object to it by writing to soporte@agilesales.app. We answer within 30 days. To have your data deleted, follow the instructions on the data deletion page.

If you are a customer of a business that uses the service, you can also contact that business, which decides about your data.

We use only necessary cookies: one to keep you signed in to the panel and one to remember the language you chose. We use no advertising or tracking cookies.

AgileSales AI is not aimed at people under 18 and we do not knowingly collect their data. If you believe a minor wrote to us, tell us and we will delete it.

If we change this policy, we will publish the new version on this page with its date. If the change is important, we will tell the businesses that use the service.
